Export Compliance Computing - HPC User Approval Process

Description

This article describes the approval process for accessing HPC's Export Compliant servers.

Resolution

In the event that a department chair becomes aware that a member of their department (student, staff, employees) would like to access the Export Compliance servers on the BeoShock HPC system, they can forward the link for this KB article to the individual(s) to follow the rest of the process steps as listed below.

  1. The Department Chair provides the Requester a link to the KB article.
  2. The Requester reads through the KB article and uses the provided link to the Export Compliance Computing - Access Request ticket to submit their request.
  3. *Note: The Requester must already be an HPC user with access to the BeoShock cluster.
  4. Once the ticket is submitted, the Chair selected in the ticket will be notified of the request and approve or deny it.
    1. If the request is denied, the requester will be notified.
    2. If the request is approved, the access process moves forward to the Export Control Officer (ECO).
  5. Once the request is sent to the ECO, they will approve or deny the request.
    1. If the ECO denies the request, the requester will be notified.
    2. If the ECO approves the request, the requester will be notified that they need to complete training before access to the EC severs is granted.
      1. The requester must complete the Export Compliance training before their ticket can continue through the process.
      2. If the requester has not completed training within 2 weeks of being notified that training is needed, the request can be denied and the requester will be notified.
  6. Once the requester completes training, the ECO will mark the training as complete and the ticket will proceed to the HPC administrative team so the requester can be added to the appropriate queues and groups.
  7. Once the HPC Admins have completed their setup process, they will mark the ticket as complete and the requester will be notified that access is granted.
